As a Richmond and Virginia based photographer there are hundreds of amazing vendors, venues and tiny decisions that couples have to make in the planning process. Those seemingly smaller decisions can make a big impact on the logistics of your wedding day. Don’t worry, you aren’t in the process alone.

Your wedding day is not about the trendy social media post! Here’s how to maximize your wedding budget, soak in the moments and create an incredible final photo gallery…without feeling like an all day photo-op.  

Hire a Wedding Planner/Coordinator (Not Just a Venue Coordinator)

One of the most important investments you can make is hiring a wedding coordinator or planner who works specifically for you. While venue coordinators are invaluable for managing the venue itself, they are not responsible for overseeing your full wedding timeline or advocating for your experience throughout the day.

From a photography standpoint, a dedicated coordinator ensures the day flows smoothly, transitions happen on time, and moments aren’t rushed or skipped altogether. When timelines are protected and logistics are handled quietly in the background, couples feel more relaxed—and that ease shows up beautifully in photos.

Choose a Venue That Fits Your Style (Don’t Overlook the Backup Rain Plans)

Your venue sets the foundation for your entire gallery. Getting-ready spaces with natural light and neutral walls allow for clean, true-to-life images, without cluttered, basement vibes that is far too common in groom suites!

Just as important is having a rain plan you genuinely love. When your backup ceremony space feels just as beautiful and intentional as your primary option, the day stays stress-free regardless of the forecast—and that confidence shows in your photos. “Hoping for the best” is truly not a wedding day strategy!

Keep Wedding Parties Smaller.

Smaller wedding parties, typically three to five people on each side, often lead to a calmer, more intentional photography experience. With fewer people to coordinate, less early morning hair and makeup, and efficient time management. This gives us time for fun candid moments, vs a shot list of staged portraits and allow space to make hilarious and sentimental memories with your childhood besties.

This inevitably leads to more time spent with your partner and guests. The result is images that feels natural, cohesive, and full of personality rather than rushed or chaotic.

Prioritize Florals Without Breaking Your Budget

Fresh florals are an incredible way to pull together your entire wedding gallery with pops of color and elegant that were through the entire day of photos. This addition does not need to be expensive to make an impact. Instead prioritizing key moments like your ceremony space or reception tables, and repurpose whenever possible. Opt to repurpose whenever possible, moving floral displays from ceremony to cocktail hour, or repurposing your arbor as a backdrop for your head table!

Just a word of advice (and hot take) you DON’T need bridesmaids bouquets or boutonnieres and could find better use of that floral budget through other elements of your wedding day!

Including a First Look and Pre-Ceremony Portraits

Building portrait time into the day before the ceremony can completely transform your wedding experience. Whether or not you choose a first look, pre-ceremony portraits with family and your wedding party allow for a calmer pace and reduce the pressure to rush through photos during cocktail hour.

As is always the goal for my couples, this allows for more time to be fully present with their guests, full of candid, joyful images later in the evening. Choose Comfort and Fuss-Free Style

What you wear and how you feel in it has a direct impact on how confident and present you look in photos. Dresses that are too heavy, shoes that pinch, or hairstyles that require constant adjusting can pull focus away from the moment.

While classic, all-down hairstyles are beautiful, they can introduce challenges with wind, heat, and veil placement, covering your face or forcing you to have unnatural hand placement fussing with pieces out of place. I’m almost always in favor of adapting your bridal choices for comfort, movement and distraction free style!

Keep Your Guest in Mind

Your guests’ experience plays a bigger role in your photos than you might expect. Thoughtful flow between ceremony, cocktail hour, and reception keeps energy high and prevents guests from feeling confused or uncomfortable. Just a cheerful group with cocktails in hand moving from one place to the next.

A few other major guest experience winners or killers are long bathroom lines, or bars placed far from the dance floor! When the goal of your reception is more together time, you’ll want to thoughtfully think through your guest count, potential flow of where people will naturally gather. Think about accessibly ways to get water, snacks, cocktails and even comfort items like fans or blankets to prep for outdoor seasonal ceremonies. Happy, comfortable guests bring the energy and better photos.

Practical Reception Decor That Doesn’t Ruin Your Photos

Pinterest-worthy tablescapes are stunning, but oversized centerpieces and tall decor can unintentionally block sightlines during dinner and speeches. When guests can’t easily see one another or the couple, Photographing genuine reactions and connection are harder to capture. Not to mention it’s impossible to photograph around cluttered tables. You wouldn’t believe how many times I have to manually move a centerpiece from the head table at the start of speeches.

Invest in Entertainment That Can Read the Room

A skilled DJ, band, or MC does far more than play music. They manage the flow of the reception, keep the timeline on track, and know when to elevate the energy or allow moments to breathe.
